EXECUTIVE ASSISTANT

Role Summary:

Provides high-level administrative and operational support to ensure the smooth running of day-to-day activities across the organization. The role requires a mature, reliable, and highly organized professional who thrives on structure, precision, and discretion. The ideal candidate is 35 years or older, detail-oriented, able to multitask effectively, and proactive in anticipating needs before they arise.

Key Responsibilities:

  • Manage scheduling, correspondence, and logistics for meetings, events, and travel arrangements.
  • Maintain organized filing systems (digital and physical) for contracts, reports, and internal records.
  • Draft and format letters, reports, and presentations with accuracy and attention to detail.
  • Handle confidential information with absolute discretion and professionalism.
  • Coordinate internal communications between departments and ensure timely follow-ups.
  • Track and manage office supplies, vendor relationships, and general office maintenance.
  • Prepare meeting agendas, take minutes, and ensure action items are tracked to completion.
  • Support leadership with administrative tasks, including calendar management and travel coordination.
  • Oversee incoming calls, emails, and correspondence, prioritizing and escalating where appropriate.
  • Provide assistance with basic bookkeeping, invoicing, or document preparation as required.

Qualifications & Skills:

  • Minimum of 7 years’ proven experience in an administrative or executive support role.
  • Age 35 years or above, with demonstrated maturity and professional discretion.
  • Exceptional attention to detail and organizational skills.
  • Strong multitasking ability with the capacity to prioritize under pressure.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Ability to manage sensitive information and handle confidential matters with integrity.
  • High degree of initiative, professionalism, and reliability.
  • Calm, solutions-oriented approach with a strong sense of ownership and accountability.
